HIPAA |

Jawood has been actively involved with our client’s initial implementation of HIPAA 4.0 and, most recently, in the conversion to 5.0. In the initial implementation, Jawood’s instructional resources identified training requirements, designed and developed training programs for one of our healthcare client’s operational population of over 3500 employees.
Additionally, Jawood provided trainers to deliver HIPAA training on a 24 hour basis to one of our public sector clients.
In support of the HIPAA 5.0 conversion, Jawood has developed tools to assist our clients both in the identification of their conversion requirements and with the resources to develop training to support the conversion. |

Jawood's Project Methodology
The chart below and on the following pages contains our standard methodology for training program development. This methodology can be altered to reflect individual client needs/requests

Audience Analysis |
During this stage of the design process, the Jawood Instructional Technologist assigned to the project will interview the client’s SMEs and review all existing materials to:
- Determine the level of policies and procedures required.
- Identify and profile the target audiences.

Needs Analysis |
During the needs analysis process, the Instructional Technologist(s) assigned to the project will work with the client’s SMEs to identify the user’s training requirements and the objectives or goals to be accomplished by the training program.
At this point in the development process, it is essential that the Jawood’s Instructional Technologist(s) is/are supplied with all hard copy and electronic copies of any supplemental materials containing information which needs to be incorporated into the training program.
This process will result in documented set of performance objectives for the training program and a tentative, working table of contents. |
| Develop Design Document Goals and Working Table of Contents |
Using information obtained in the needs assessment, the Jawood Instructional Technologists will create a design document which contains training goals and performance objectives for each module and a working table of contents.
This document will form the basis of all subsequent development. Because of this, client SMEs and the client’s Project Manager must review and approve the design document before subsequent development activities are initiated.
Although minor changes to the design document are anticipated as additional information becomes available, major changes which can impact the ability of Jawood to deliver a completed product on time must be approved by the client's Project Manager with subsequent adjustments to the project time frames. |

Assigned SMEs will review the design document draft for the following:
Accuracy
- Instructional validity
- Appropriateness for the client’s culture
- Correspondence with other human resources practices in this project and with the project as a whole.

| Develop Initial Draft/Storyboards |
Working with assigned the client’s SMEs, project manager, and CRP, the Jawood Instructional Technologist will create an initial draft of each training module for review and approval.
A cutoff date for the receipt of technical information will be established for each draft stage. Any information received after this date will be included in the next draft of the document.
The initial draft document will contain all information received by the technical information cut-off date. The information will be presented in the agreed upon format and will reflect accepted standards for grammar, spelling, and punctuation.
Depending on their size, draft documents will be submitted to reviewers a module at a time. This approach lessens the reviewers’ burden and allows them to place greater focus on the materials at hand. |
| Technical Review |
The following individuals will conduct a technical review of the initial draft document(s) as indicated:
- The client’s Project Manager, SMEs and CRP: These individuals will review the draft document to determine if it is technically accurate, complete, and meets the needs of the user audience.
- The client and Jawood’s Project Manager: These individuals will perform an editorial/proofreading level of review of the draft documents produced.

| Develop Second Draft |
Developing the second draft involves incorporating the review comments from the assigned SMEs and Jawood Project Manager as well as any information submitted after the cut-off date for the receipt of technical information.
The information will be presented in the agreed upon format and will reflect accepted standards for grammar, spelling, and punctuation. |
| Technical review |
The second technical review will follow the same guidelines as the first. However, it should be noted that:
- Major changes to format or presentation style cannot be made during this phase of development without receiving the express approval of the client’s and Jawood’s Project Manager. Depending on the extent of the changes, subsequent changes will need to be made in the final due dates.
- Information submitted after the second draft cut-off date for receipt of technical information will not be reflected in this draft. Inclusion of this information will require a decision/agreement from the client and Jawood’s Project Manager and may require a corresponding extension in the overall project deadlines.

| Pre-Pilot Finalization |
During the finalization stage, all review comments/changes will be incorporated into the documents.
The documents will be prepared for final printing. This will include creation of the appropriate table of contents, cover pages, list of figures, etc. |
Training Pilot |
During this phase of development, the entire training program will be piloted to a selected audience. The pilot is done to determine if/where changes need to be made to the training program.
The client’s trainer will conduct the pilot training sessions. Based on client request, the Jawood Instructional Technologist(s) assigned to the project can observe the pilot to determine if/where changes are required.
For this project, the initial training program will be used for this portion of the development process. |
| Post-Pilot Finalization |
At this phase of development, changes identified in the initial training program are made and all information is finalized. |
| Acceptance |
After the documents have been finalized, a round table walk through with the client’s Project Manager, assigned SMEs, CRP and Jawood Project Manager and Instructional Technologist(s) will be conducted to obtain final approval and acceptance of the training program.
Once the training program is approved and accepted, Jawood will supply the client with a hard copy and electronic master copy of each training module and associated training materials. At this time, the project will be completed. |
